Answer: Agencies often manually manage separate tools for you in order to execute your marketing, with a focus on Reach Campaigns. DoctoGrow installs foundational growth systems into your practice using AI Automations, so growth becomes repeatable, measurable, and more affordable long-term, on auto-pilot.

DoctoGrow builds the marketing infrastructure for practices. For most local practices, this is more than sufficient to grow. However, if a practice wishes to invest aggressively in their marketing, than a practice may choose to hire a marketing agency to accelerate their growth faster with Reach Campaigns such as Online Ads (Google Ads, Facebook Ads, Instagram Ads, etc.), Advanced SEO, Partnered Referral Networking, Direct Mailers, Public Relations Press Releases, etc.

The practice can also add their own marketing agency to DoctoGrow, or they can use one of DoctoGrow's vetted agency partners to execute these Reach Campaign services; the advantage to using a DoctoGrow vetted agency is that: 1.) they have a strong positive track-record in working with medical practices, 2.) they understand HIPAA-compliance and healthcare marketing, and 3.) DoctoGrow clients get VIP discount rates on agency services that are actually greater than the cost of DoctoGrow itself, making it a "no-brainer" scenario!

In short, when a practice establishes their marketing infrastructure by using DoctoGrow, the practice is growth-ready and often doesn't even need expensive Reach Campaigns. However, if they do want to accelerate growth with such campaigns, they are now in a position to maximally take advantage of Reach Campaigns that drive in new patient leads. Without this infrastructure in place, most practices lose 10s of 1,000s of dollars every month on failed reach marketing campaigns, and often end-up making silly proclamations like "marketing doesn't work," when in reality, they just failed to install the systems they needed to make the marketing work for them!

Answer: After the onboarding, where we gather information from you, the ONLY thing you have to do is upload a CSV file of new patients (easily obtained from your EMR system) once per week. This should not take more than 5-10 minutes every week! By simply doing this weekly, all of your patients will automatically get review request sequences, added to email newsletters, funneled into referral request automations, and more.

Your inbound leads from your DoctoGrow website will be auto-funneled to whatever email address you'd like. They will also populate in the Mobile App that comes with DoctoGrow, if you'd like to use that.

Answer: Yes, the platform runs in HIPAA-mode with encrypted data handling and BAAs where applicable. AI interactions are structured to remain HIPAA compliant and auditable.

Because PHI runs through and is stored by websites, all medical practices benefits from DoctoGrow's HIPAA-Compliant Website System, as all the website engagement forms, lead capture forms, AI widgets, and backend data are all HIPAA-compliant.

In most cases, we will either build/rebuild a websites for practices using our conversion-optimized design structure, or we will integrate HIPAA-compliant functionalities into their existing website if they have a well-optimized one, so to make it compliant.

Answer: You own your website design and website content after we build it. Unlike many website agencies that hold you're website hostage, we do not! After all, we're month-to-month with no contracts and no obligations! If you do leave DoctoGrow (we can't imagine why you would!), we will transfer out your website following the below-mentioned mandatory process.

That stated, however, you do NOT in any way, shape, or form, own anything within the DoctoGrow system. Thus, you will lose the functionalities that the system integrates into the website such as HIPAA-compliant forms, widgets, SEO metadata, review capture tools, automations, workflows, custom values configurations, AI features, and so on, as these are internal DoctoGrow system tools that are not included or native to the website design or content.

The transfer process is as follows:

In order to maintain compliance in accordance with the HIPAA regulations, we will only transfer the website to a HIPAA-compliant GoHighLevel (the website's CMS) Account owned directly by your practice, not to any 3rd party, agency, or middleman of any kind. In order for us to properly accomplish this laborious undertaking, we will provide you a GoHighLevel sign-up link within which you can obtain your GoHighLevel Account. You must use this link to create your HIPAA-Compliant GoHighLevel Account so that we can work on executing the transfer. We take HIPAA and PHI seriously, and we will not transfer PHI data capture and storage channels (such as your website) to anyone outside of your immediate organization or onto any third-party GoHighLevel Account not created via our link, as these may be non-compliant versions of GoHighLevel onto which we will not be transferring your site.

If you wish to transfer, the transference will generally occur within 14 days of receiving Administrative Access to your HIPAA-compliant GoHighLevel Account owned by your practice. DoctoGrow's fee to execute the website transfer is a one-time fee of $3,564.

After transfer, no further work will be done by DoctoGrow. The rebuilding of forms, workflows, AI, automations, custom values edits, metadata, etc. are fully your responsibility, as these are no longer on or within the DoctoGrow system.

There are absolutely no exceptions to this policy.

Again, to be explicitly clear: We will NOT violate HIPAA regulations for your convenience; this policy and process is non-negotiable.

Here is the best option for practices who want to downgrade from one of our two plans (Foundation or Stabilization), but still wish to keep the website with DoctoGrow: Because of the challenges and costs that come up with HIPAA-compliant websites, on the rare instances that a practice only wants their website as a single point solution and not part of a plan, they may downgrade to our HIPAA-compliant web hosting and maintenance plan of $297/mo; this is $97/mo cheaper than you getting your own HIPAA-compliant GoHighLevel Account (which is $97/mo for the base platform + $297/mo for HIPAA compliance = $394/mo total). The massive advantage, in addition to price discount, is that all the website-related functionalities built and powered by DoctoGrow (reviews display widget, HIPAA-compliant forms, internal notification automations, SEO metadata, custom values, etc.) will all remain securely intact and up-to-date by DoctoGrow, plus we will continue maintaining your website. If you previously had an AI chatbot, it will downgrade to a standard lead capture website widget on this downgraded website maintenance only plan.

Answer: A HIPAA-compliant website is necessary for healthcare entities because when a lead form is filled and the data is captured and stored, the transmission and storage systems must all be secure so that, when the lead becomes a patient, you are not storing their PHI in an unprotected space. Many practices fail to establish HIPAA compliant websites, and they can be fined up to $1.5 Million along with criminal charges if any issue arises. In most non-compliant website cases, the fines are between $25,000 and $250,000.

Answer: You can add an unlimited number of users. You take 100% liability and responsibility for every user added to your account regard all legal, HIPAA, and PHI matters. There are zero exceptions. DoctoGrow is not in any way, shape, or form legally responsible or liable for any acts committed by users that are added to your account.

Answer: YES! DoctoGrow's strength is that it is a scalable marketing system that enables the installation of growth systems into all of your locations from one simple dashboard.

Answer: After you select your plan, the initial onboarding session can take up 1 hour. After that, it will take us 2-4 weeks to build-out your account and systems, depending on complexity and individual need.

Answer: After onboarding, we have an in-app messaging support system, wherein our backend technical team can respond to tech questions, and share insights via Loom videos. Only if/when absolutely required, will the support escalate to a Zoom meeting. When messaging, please note that response times to support inquiries can take as long as 10-15 minutes to start addressing.

Generally, the vast majority of clients rarely use the support system as the only thing they need to do is upload a new patient file once a week.
